With a document volume estimated at over 7.000.000 sheets, it became necessary to improve and increase the efficiency of the administrative capacity of the Fiscal Department of the City of Timisoara, since there is also a perspective of increasing the volume of documents from he city hall archive. In this context, ETA2U proposed an electronic archiving solution that would reduce storage costs and decrease the time required for safe document access.

With a document volume estimated at over 7.000.000 sheets, it became necessary to improve and increase the efficiency of the administrative capacity of the Fiscal Department of the City of Timisoara, since there is also a perspective of increasing the volume of documents from he city hall archive. In this context, ETA2U proposed an electronic archiving solution that would reduce storage costs and decrease the time required for safe document access.
To accomplish this project, following a complex analysis of the existing situation and of the document flows from the customer institution, ETA2U has configured the preparation, scanning and archiving document flow, described below.
The first stage consisted into taking over the files from the beneficiary and sending them to the File Take-over and Preparation Center in order to be scanned. Here, ETA2U specialized operators verify the file content and prepare documents for scanning.
In the Scanning and Indexing Center each file is processes by ETA2U operators by using performing scanning equipment that support different paper formats, from A5 up to A0. Following the scanning operation, the indexing team takes the indexes from the paper type document and attaches it to the electronic type document. At the end of this stage, the quality responsible applies the verification keys with the purpose of identifying and eliminating any potential errors that might appear during the flow. In the end, the result is an electronic file which is the exact copy of the paper file.
The last stage includes the archiving and indexation of the electronic files, thus creating the link between the electronic file and the file of each tax payer. This way, the civil servant from the Finance Department will be able to find easily and quickly through its application of Taxes and rates the documents of any tax payer. This final stage takes place at the Center of Electronic Archiving and the process is performed by the archiving specialist team.
The Electronic Archiving Solution proposed by ETA2U ensures a considerable reduction of printing, mailing and keeping costs, while also facilitating a fast and safe access to archived documents.
